Time Card Calculation Method

The calculator operates on a straightforward logic:

Worked Time = (End Time - Start Time) - Break Duration

Each day’s total is then summed for a weekly overview. Based on predefined limits (like 8 hours per day or 40 hours per week), it identifies overtime, regular hours, and underworked days.

For example:

  • Start: 09:00

  • End: 18:00

  • Break: 60 minutes

Total = (9 hours - 1 hour) = 8 hours

When this is done for each workday, the tool calculates:

  • Total Weekly Hours

  • Overtime (if above weekly limit)

  • Daily Average

  • Day-by-Day Status (Regular, Under, or Day Off)

Let’s say you work Monday to Wednesday with these hours:

  • Monday: 09:00–18:00, 60 min break → 8h 0m

How is overtime calculated?

Overtime is calculated based on the configured weekly hour limit. By default, this is 40 hours. Any hours above this threshold are flagged as overtime.

Example:

  • Weekly hours: 45h

  • Weekly limit: 40h

  • Overtime = 5h

This helps employers and employees track compliance and budget labor costs accurately.

What happens on days off or partial days?

You can mark any day as a non-working day by unchecking “Work day.” The calculator then skips that day in totals but still includes it in the weekly report.

For partial days, reduced worked hours (below the daily standard) are marked as Under Standard, which can help HR monitor attendance and productivity.

This feature is perfect for flexible schedules or part-time arrangements.

Can it handle night shifts and irregular schedules?

Yes. The calculator automatically supports cross-midnight shifts. If your end time is before your start time (e.g., 22:00 to 06:00), it understands the work shift continues into the next day and calculates accordingly.
